The Behavioral Health Scheduler works as an integral part of the Behavioral Health team and provides the necessary front office support for the organization in the Behavioral Health Department. This includes contacting patients by telehealth, letter/phone, and/or portal to address follow-up care. This individual also collaborates with other team members assisting in the promotion of health and well-being of patients.

Primary Duties/Responsibilities

1. Follows lean standard workflows with continuous improvements and makes necessary adjustments to provide patients with a value-added experience that is focused on superior quality.

2. Greets and welcomes all patients/visitors to the clinic in a courteous, helpful, and friendly manner. The goal is to make the patient feel that they are a top priority and that the purpose of work is to meet their healthcare needs.

3. Determines purpose of visit or phone call and directs patients/visitors/callers to appropriate area. In the event of emergency, seeks clinical support staff assistance.

4. Performs intake duties for new and established patients

5. Updates and verifies demographic information for established patients to include: address, phone numbers, insurance benefits, and emergency contact. Check for missing information.

6. Promptly check-in patients arriving for their appointments, monitors time waiting (no more than 10 minutes).

7. Participate in morning huddles with behavioral health staff to prepare for workday to include need for interpretation, available appointments, triage, and ensuring that schedules are at capacity for each day and next day.

8. Determine timeframe for appointment requests for new and established patients utilizing standards of scheduling protocol and the degree of patient’s behavioral health needs.

9. Monitor and update ‘Eligibility and Phone’ reports to verify insurance and monitor patient’s re-schedule requests from phone reminder calls.

10. Efficiently reschedules return appointments and assess patient for satisfaction of visit when the patient presents to “check-out” to finish their appointment.

11. Maintain knowledge of the current standard work for scheduling and utilizes scheduling tools.

12. Offer and/or update sliding scale discount to every patient (no insurance, underinsured and insured, & Medicare) information for eligibility for discounted services.

13. Direct medication refill requests to the clinical support staff via patient case in electronic health computer system.

14. Maintains strict patient confidentiality at all times.

15. Completing accurate data collections.

16. Perform all other duties as assigned.

Minimum Qualifications

  • High School Diploma or GED equivalent.
  • Preferred six months working in clinical setting
  • Preferred bilingual in English and Spanish

Knowledge, Skills and Abilities

  • Strong verbal communication skills. Courteous and empathic personality.
  • Ability to operate computers/keyboard and phone system.
  • Ability to work under pressure and handle multiple tasks.
  • Prefer at least one-year public contact experience.
  • Ability to maintain confidentiality.
  • Possess good judgment when handling clinical emergencies and behavioral problems.
